Acquisitions Coordinator - Full-time - Preston Library

VMI’s Preston Library seeks an enthusiastic, team-oriented individual to work in a fast-changing environment in its Technical Services department.

Duties include:

  • Responsible for procurement of all library materials, including monographs and serials (print and digital), continuing resources, and library supplies. This includes:
    • Preparation and maintenance of documentation in compliance with regulations and standards set by the Commonwealth of Virginia and VMI Procurement Services;
    • Maintain current knowledge of state and agency procurement requirements; prepare responses to audit findings and implement operational controls; monitoring and management of electronic and physical records for library purchasing and accounting to comply with retention and destruction schedules.
    • Coordinating contracts and licensing agreements with VMI Agency Contract Administrator.
    • Accurately record purchase transactions in eVA, Works, internal budget applications, ILS, and other applications; creation of encumbrances, blanket orders, requisitions and purchase orders; monitoring and selection of proper funding sources to stay within budgets; management of academic department monograph purchase allocations and budgets.
    • Use and maintain data in eVA, Works and internal budget applications; assist Technical Services Librarian with budgets and statistics; identify library operational practices impacting budgets or timing and bring these to the attention of supervisor.
    • Selection of vendors and preparation and submission of orders of all types (physical and digital).
    • Responsible for order, renew, claim and cancel serial subscriptions with vendors and publishers, monitor serials contracts, directly handle all business with vendors and publishers.
    • Responsible for processing monographic firm orders.
  • Responsible for bibliographic research and verification of orders through discovery tools, ILS, OCLC services/applications and other online bibliographic resources to ensure accurate ordering of materials.
  • Responsible for unsupervised receipt, check-in and initial placement of serial items and management of materials in periodical areas; load and maintain proper records in OCLC and the ILS, route materials to designated areas and rotate current periodicals and newspapers, maintain current lists of serials and maintain electronic journal data using online tools.
  • Responsible for binding of serials and monographs. Manage bindery schedule and procedures, prepare serials for the bindery according to department procedures and bindery contract; prepare and receive shipments, verify accuracy of binding; independently interact with binding vendor.
  • Supervise cadet assistants – provide work assignments, documentation of duties, and training of cadet assistants.
  • Perform other duties and assignments as directed by management.

Candidates should possess excellent organizational skills; be able to multi-task and prioritize duties and meet deadlines; be detail-oriented and accurate; be able to work independently; be able to work cooperatively with staff and librarians; be able to communicate clearly and effectively - orally and in writing and be proficient in Microsoft Office; able to create and use queries;

Minimum Qualifications:

  • Must be able to serve as a SPCC (credit card) cardholder.
  • We expect the successful candidate to become CUPA certified in the first year of employment.

Preferred Qualifications:

  • Experience in library acquisitions – order management, procurement, receiving, serials management, bindery operations, knowledge of OCLC resources, and automated library systems (ILS, discovery tools); work with budgets; develop statistics for federal and industry reporting; supervisory or leadership experience.
  • CUPA or VCA certification, or equivalent.
  • Proficiency in Microsoft Office; ability to create and use queries.
